Terms and Conditions

Last Updated: September 10, 2026

These Terms and Conditions govern your use of thegreekretreat.com and any information, forms, materials, downloads, or services made available through this website.

By accessing or using this website, submitting an inquiry, downloading materials, or otherwise interacting with the website, you agree to these Terms and Conditions.

If you do not agree with these Terms, please do not use the website.

1. About This Website

thegreekretreat.com provides information for retreat leaders and organizations interested in hosting private group retreats in Crete, Greece.

The website is intended to provide general information about retreat availability, facilities, hospitality, pricing, optional experiences, and the process for exploring or arranging a retreat.

The website does not provide individual hotel room bookings, and submitting an inquiry through the website does not create a reservation or guarantee availability.

2. Eligibility

You must be at least 18 years old to submit an inquiry, enter into a retreat booking, or otherwise use this website for the purpose of arranging services.

By submitting information through the website, you represent that the information you provide is accurate to the best of your knowledge and that you have the authority to provide it.

3. Retreat Inquiries Are Not Reservations

Submitting an inquiry, requesting information, downloading the Host Guide, speaking with our team, or scheduling a retreat call does not reserve a retreat week.

Dates remain subject to availability until the applicable retreat details have been approved and the required booking steps have been completed.

A retreat week is only considered reserved once any required written agreement has been completed and the applicable deposit or other required payment has been received and confirmed.

We are not responsible for changes in availability that occur before a booking has been formally confirmed.

4. Separate Retreat Agreement

Any actual retreat booking is subject to a separate written retreat agreement, proposal, booking agreement, or similar written confirmation provided before payment or reservation.

That agreement may include terms relating to:

Retreat dates, group size, accommodation, pricing, deposits, payment deadlines, cancellation, rescheduling, guest conduct, damage to the property, optional experiences, transportation, dietary information, liability, and other terms specific to your retreat.

If there is any conflict between these website Terms and a signed retreat agreement, the signed retreat agreement will control with respect to that retreat.

Information contained on this website or in the Host Guide is not intended to replace the final written agreement for a specific retreat.

5. Pricing

Prices displayed on the website are intended to provide prospective retreat hosts with a clear understanding of the current starting cost of hosting a retreat.

Unless otherwise stated, published retreat pricing is in United States Dollars (USD).

Current retreat pricing may vary based on factors including:

Group size, retreat dates, length of stay, optional activities, transportation, requested services, and other requirements specific to the retreat.

Optional experiences, airport transportation, chartered flights, additional facilitation, marketing support, and other add-on services are not included unless expressly stated.

The finalized proposal, invoice, or retreat agreement provided for your specific retreat will determine the amount payable.

6. Taxes and Mandatory Property Fees

Prices displayed on the website represent the applicable retreat package price.

Any required facility-side taxes or mandatory property fees are handled within the property arrangement unless otherwise disclosed in the final proposal, invoice, or retreat agreement before booking.

If any additional legally required tax, fee, assessment, or charge applies to a particular booking, it may be included or separately disclosed as required.

7. Deposits and Payments

Retreat payments are not processed directly through the public website.

Once retreat details have been agreed upon, we may issue digital invoices through a third-party payment system.

Current standard retreat packages generally require a deposit to reserve the applicable week, with the remaining package balance due before arrival.

The Host Guide currently describes a 50% deposit of the minimum retreat package, with the remaining package balance due 30 days before arrival.

Exact payment amounts, deadlines, refund provisions, and other financial terms will be stated in the applicable retreat agreement or invoice.

In the event of any difference between general pricing information displayed on the website and the terms of a finalized written agreement, the finalized agreement controls.

8. Cancellations and Date Changes

Retreat payments are generally non-refundable.

Where possible, we may allow a retreat host to move a booking to another available retreat week or to an available date in the following year.

Any rescheduling is subject to availability and the terms of the applicable retreat agreement.

Nothing on this website guarantees that an alternative date will be available.

Cancellation, rescheduling, refund, and credit terms applicable to a specific booking will be governed by the written retreat agreement.

9. Retreat Services and Property Operations

Retreat offerings may involve services provided by the retreat property, local hospitality providers, restaurants, guides, transportation providers, activity operators, and other third parties in Crete.

The retreat model described on the website separates the host's role from the property and hospitality role.

Retreat hosts generally remain responsible for creating, marketing, selling, and leading their own retreat, while the property and local team provide the agreed accommodation, hospitality, meals, facilities, and related on-the-ground services. This division of responsibilities is consistent with the underlying operating model for the retreat offering.

The specific services included in any retreat are determined by the applicable written agreement.

10. Optional Activities and Experiences

Optional activities, excursions, wellness services, cultural experiences, transportation, guides, and other additions may be available.

Availability, timing, pricing, providers, and suitability may vary based on factors including season, weather, group size, participant needs, transportation requirements, and local availability.

Examples shown on the website or in the Host Guide are illustrative and do not guarantee that a particular activity or provider will be available for a specific retreat.

Optional activities are priced separately unless expressly included in the retreat agreement.

We reserve the right to recommend substitutions or alternatives when an activity, provider, location, or experience is unavailable or unsuitable.

11. Travel Responsibilities

Unless expressly included in a written agreement, retreat participants and hosts are responsible for arranging their own travel to and from Crete.

Airport transfers and other transportation may be available as optional services.

Travel schedules, airline operations, entry requirements, passports, visas, travel insurance, health documentation, baggage, and other individual travel requirements remain the responsibility of the traveler.

We are not responsible for airline cancellations, flight delays, missed connections, lost luggage, immigration decisions, or other circumstances arising from a participant's travel arrangements.

12. Accuracy of Website Information

We make reasonable efforts to keep the information on thegreekretreat.com accurate and current.

However, property features, services, pricing, availability, restaurant partners, activities, schedules, transportation options, photographs, and other information may change.

Photographs and descriptions are intended to provide a reasonable representation of the property and destination but may not reflect every detail present at the time of a future retreat.

We may correct errors, update information, or change website content at any time without prior notice.

A website error does not create an obligation to provide a service, price, date, or feature that was displayed incorrectly.

13. Host Guide and Downloadable Materials

The Retreat Host Guide and other downloadable materials are provided for informational and evaluation purposes.

They are intended to help prospective retreat hosts understand the property, retreat model, pricing structure, and available options.

Downloading or receiving the Host Guide does not create a contractual relationship, guarantee pricing, guarantee availability, or reserve a retreat week.

We may revise or replace downloadable materials as the retreat offering evolves.

14. Retreat Host Responsibilities

The retreat host is responsible for the retreat they create and lead.

This may include responsibility for:

Designing and delivering the retreat program, marketing and selling the retreat, communicating with participants, setting participant pricing, collecting participant payments, managing participant expectations, providing accurate guest information, and communicating relevant rooming, dietary, allergy, accessibility, or other participant needs within the required timelines.

The host is also responsible for ensuring that the retreat they market accurately represents the services that have actually been agreed upon.

We are not responsible for promises, representations, guarantees, refunds, or other commitments a retreat host independently makes to their participants unless expressly included in our written agreement with that host.

15. Guest Conduct and Property Damage

Retreat hosts are expected to communicate appropriate standards of conduct to their participants.

Guests must treat the property, staff, local partners, neighboring properties, and surrounding community responsibly and respectfully.

The retreat host may be held responsible for damage caused by the host, members of the host's team, or retreat participants, subject to the applicable retreat agreement.

Normal wear and tear is excluded.

Additional policies relating to property damage, excessive cleaning, misconduct, safety, and participant behavior may be included in the retreat agreement.

16. Alcohol

Alcohol is generally not included in the standard retreat package.

Hosts may provide alcohol to adult participants in reasonable quantities where permitted, but the property is operated as a retreat facility and is not intended to function as a party venue.

Hosts and participants are expected to consume alcohol responsibly.

The host is responsible for the conduct of the host's group.

To the fullest extent permitted by applicable law, we are not responsible for injuries, losses, damages, or other consequences arising from a participant's intoxication, reckless behavior, unlawful conduct, or failure to follow property rules.

Specific alcohol, conduct, damage, and liability provisions may also be included in the retreat agreement.

17. Accessibility

The property includes stairs and does not have an elevator.

Prospective hosts are responsible for considering whether the property is appropriate for the mobility and accessibility needs of their participants before booking.

If a participant cannot safely and comfortably navigate stairs, the property may not be suitable for that individual.

Hosts should disclose relevant accessibility questions or concerns before confirming a retreat.

18. Children and Pets

Pets are not permitted at the property.

Retreats are generally designed for adults, and children are generally not accommodated.

Hosts planning a specifically designed family retreat are welcome to inquire. Approval of any family-oriented retreat is determined on a case-by-case basis and is not guaranteed.

19. Dietary Requirements and Allergies

Hosts are responsible for providing accurate dietary requirement and food allergy information for their group within the timelines communicated before arrival.

Current retreat planning requires final dietary and allergy information no later than 30 days before arrival, and earlier disclosure is encouraged.

We and our hospitality partners will make reasonable efforts to communicate and accommodate disclosed requirements.

However, unless specifically confirmed in writing, we cannot guarantee an environment completely free from allergens or cross-contact.

Participants with severe allergies or medical dietary requirements should determine whether the available arrangements are appropriate for their individual needs.

20. Third-Party Websites and Services

thegreekretreat.com may contain links to or use services provided by third parties, including scheduling platforms such as Calendly, payment providers, travel providers, social platforms, and other websites or services.

Third-party services are governed by their own terms, policies, availability, and practices.

We do not control those services and are not responsible for their content, security, availability, privacy practices, outages, errors, or actions.

Use of a third-party service is at your own discretion and may require acceptance of that provider's own terms.

21. Communications

When you submit an inquiry or otherwise provide contact information, you authorize us to use the information you provide to respond to your request and communicate with you regarding the retreat you are considering.

Depending on the contact information and preferences you provide, communications may take place by email, telephone, messaging service, or other reasonable means.

Submission of an inquiry does not by itself constitute consent to unrelated promotional marketing where separate consent is required by law.

Information submitted through the website is also subject to our Privacy Policy.

22. Intellectual Property

Unless otherwise stated, the content available through thegreekretreat.com, including website copy, photographs, videos, graphics, downloadable materials, layouts, and other original content, is owned by us, licensed to us, or used with permission.

You may view the website and download materials such as the Host Guide for your own personal or internal business evaluation of the retreat offering.

You may not, without prior written permission:

Copy or republish substantial portions of the website, reproduce or commercially distribute the Host Guide, use our photographs or videos in your own marketing, remove copyright or ownership notices, create misleading derivative materials, or represent our content as your own.

Approved marketing materials may be provided separately to confirmed retreat hosts. Any use of those materials is subject to the permissions and conditions provided with them.

23. Acceptable Use

You agree not to misuse the website.

You may not:

Attempt to interfere with the operation or security of the website, submit fraudulent or intentionally misleading information, use automated systems to scrape or extract substantial website content without permission, attempt unauthorized access to website systems, transmit malicious software or code, impersonate another person or organization, or use the website in connection with unlawful activity.

We may restrict or block access where we reasonably believe the website is being abused.

24. Information You Submit

You retain ownership of information you submit through inquiry forms or communications.

You grant us permission to use that information as reasonably necessary to:

Review your inquiry, communicate with you, evaluate availability, prepare recommendations or pricing, coordinate with relevant property or service providers where necessary, and administer a potential or confirmed retreat.

You represent that you have the right to provide any information you submit, including information concerning other members of your retreat group.

Where you provide personal information about another person, you are responsible for ensuring you have an appropriate basis to provide that information to us.

25. No Professional Advice

Information on this website is provided for general informational and commercial purposes.

Nothing on the website constitutes legal, financial, tax, medical, immigration, travel-security, or other professional advice.

Retreat hosts remain responsible for obtaining professional advice appropriate to their business, participants, and retreat.

26. Disclaimer of Warranties

To the fullest extent permitted by applicable law, the website and its content are provided on an “as is” and “as available” basis.

We do not guarantee that the website will always be uninterrupted, error-free, secure, or available.

We also do not guarantee that every service, activity, date, accommodation feature, provider, or other offering described on the website will remain available at all times.

Nothing in this section limits obligations expressly undertaken in a signed retreat agreement.

27. Limitation of Liability

To the fullest extent permitted by applicable law, we will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from or related solely to your use of, or inability to use, this website.

This includes losses arising from reliance on website information, website interruptions, third-party services, or unauthorized access to information where liability may lawfully be limited.

Nothing in these Terms is intended to exclude or limit liability that cannot legally be excluded or limited.

Liability relating to a confirmed retreat, property stay, payment, cancellation, participant conduct, or contracted service will be governed by the applicable retreat agreement in addition to any rights that cannot legally be waived.

28. Indemnification for Website Misuse

To the extent permitted by law, you agree to indemnify and hold us harmless from claims, damages, liabilities, costs, and reasonable expenses arising from:

Your unlawful misuse of the website, your intentional violation of these Terms, fraudulent or unauthorized information you submit, or your infringement of another person's rights through your use of the website.

This section concerns misuse of the website and does not replace any separate indemnity provisions contained in a retreat agreement.

29. Events Outside Our Reasonable Control

Certain services associated with retreats may be affected by circumstances outside our reasonable control, including severe weather, natural disasters, transportation disruption, government action, strikes, public emergencies, utility failures, acts of war or terrorism, supplier failures, or other extraordinary circumstances.

Specific rights and obligations relating to cancellation, modification, rescheduling, or performance of a confirmed retreat under such circumstances will be addressed in the applicable retreat agreement.

30. Privacy

Our collection and use of personal information through this website is governed by our Privacy Policy.

By using inquiry forms or otherwise submitting personal information, you acknowledge that your information will be handled as described in that policy.

31. Changes to These Terms

We may update these Terms from time to time to reflect changes to the website, retreat offering, business practices, or legal requirements.

The revised version will be posted on this page with an updated “Last Updated” date.

Changes apply prospectively from the date they are published unless otherwise required by law.

Terms contained in an already signed retreat agreement are not changed merely because these website Terms are later updated.

32. Severability

If any provision of these Terms is found to be invalid, unlawful, or unenforceable, the remaining provisions will continue in effect to the fullest extent permitted by law.

33. No Waiver

Our failure to enforce any provision of these Terms does not waive our right to enforce that provision or any other provision later.

34. Governing Law

To the extent permitted by law, disputes arising specifically from the use of this website will be subject to the jurisdiction of courts of competent jurisdiction in Texas.

A separate retreat agreement may contain additional or more specific provisions regarding governing law, jurisdiction, dispute resolution, or services performed in Greece.
